1. About this policy

Gemsaver is a private place to keep the story behind your most meaningful jewellery — who a piece came from, what it meant, and who it's for next — along with its photos and documents. This policy explains what personal information we collect, how we use and protect it, and the choices you have. It applies to our website (www.gemsaver.com.au), our waitlist, and the setup service we provide. By joining our waitlist or using Gemsaver, you agree to your information being handled as described here.

2. What we collect

When you join the waitlist: your first name, email address, your general location, and your consent to be contacted.

When we set up and maintain your Gemsaver: the things you choose to give us about each piece — photographs, documents (such as valuations, receipts, certificates and insurance details), and the story and notes you record about it.

Information about other people: your pieces usually have stories involving others — who a piece came from, who it's intended for. If you give us personal information about another person, you confirm you're entitled to share it with us, and that you'll let them know we hold it where it's reasonable to do so.

Sensitive information: some stories you choose to record may touch on sensitive information (for example, beliefs, health or family circumstances). By including it, you consent to us collecting and holding it for the purpose of your Gemsaver. You don't have to record anything you'd prefer to keep private.

Technical information: when you visit our website we may collect basic technical data (such as device and browser type and general analytics) through standard tools.

3. How we collect it

We collect information directly from you — through the waitlist form, in your setup session, and in any emails or messages you send us. We don't buy personal information or collect it from other sources.

4. Why we use it

We use your information to: contact you about joining and to arrange your setup; build and maintain your private Gemsaver and keep its records accurate; respond to your questions and provide support; improve the service (using your feedback); and meet our legal obligations. We only use your information for the purposes you'd reasonably expect, or for a related purpose, unless you agree otherwise or the law requires it.

5. Marketing and your consent

If you join the waitlist, we'll email you about getting set up and occasional related updates. You can opt out at any time using the unsubscribe link or by emailing privacy@gemsaver.com.au. We won't sell your details or pass them to others for their own marketing.

6. Who we share it with

We don't sell your information, and we don't share it for others' marketing. We share it only with: service providers who help us run Gemsaver — currently our email and file storage provider (Google Workspace) and our form provider (Typeform), and in future our hosting/database provider and payment provider — and only so they can perform that service for us; and others, if the law requires it (for example, a valid request from a regulator or court).

7. Storing your information overseas

Some of our service providers store or process data outside Australia — for example, in the United States and other countries where they operate. By using Gemsaver you acknowledge that your information may be handled overseas, where privacy laws may differ from Australia's. We take reasonable steps to use reputable providers that protect your information.

8. How we store and protect it

Today your information is held within Google Workspace; as Gemsaver's own application and database are built, your records will move into those systems. We take reasonable steps to protect your information from misuse, loss, and unauthorised access, modification or disclosure. No method of storage or transmission is completely secure, but we work to keep your information safe and to limit who can access it.

9. Keeping and deleting it

We keep your personal information for as long as you have a Gemsaver. After that, we keep only what we need to meet our legal obligations — including record-keeping under Australian tax and consumer law — and then delete or de-identify it. In practice this generally means up to 7 years, after which records are removed unless the law requires us to keep them longer. You can ask us to delete your information at any time by emailing privacy@gemsaver.com.au, and we'll do so unless we're required to keep it.

10. Accessing and correcting your information

You can ask to see the personal information we hold about you, and ask us to correct it if it's wrong, by emailing privacy@gemsaver.com.au. We'll respond within a reasonable time. There's no charge to ask, though in some cases a reasonable cost may apply to providing access.

11. Children

Gemsaver is intended for adults. We don't knowingly collect personal information from anyone under 18.

12. Complaints

If you have a concern about how we've handled your information, please contact us first at privacy@gemsaver.com.au and we'll work to resolve it. If you're not satisfied, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

13. Changes to this policy

We may update this policy from time to time. The current version will always be at www.gemsaver.com.au/privacy, with the effective date at the top.
